No one likes chaos. Not even on a laptop! If you are like one of those people who keep adding new folders on the desktop and save every downloaded file onto the desktop, you will end up with so many files that you are often confused to search for the file you are after!
It is advised to better organize your folders grouping similar files in one folder, have a good looking desktop background apart from deleting all the unnecessary files.
Better organization of files helps you access them at a quicker pace, makes you more productive and most importantly reduce the clutter on the desktop. It requires very little skill to be organized. All it takes is your small effort and consciousness to place the folder at the right place.
Your desktop can be compared to your home. Would you like it if your house was filled with a mess? Is it beautiful with things lying all over the place? No, right? It does no harm to spend few minutes to better organize all your data in your folders and clear space on your desktop.
Let us look at some ways that can help you organize your folders and files efficiently.
- Remove duplicates
The first thing to do to have a clutter-free space is to clear all the duplicate files. There must be images, films or documents saved on the desktop that are also saved in other folders on different hard drives. You can hence delete them from the desktop.
Not only are you deleting unnecessary copies of files, you are also freeing up memory, which can be used for other applications.
- Use Folders
Imagine a drive with only files. Lots of files! It looks very messy and if you are planning to take a printout of a particular file and don’t quite recollect the file name, it is tough!
Create folders and place similar files into one folder. Ex: All your movies can go into Movies folder; all your photos can be placed in Pictures folder and so on.
Within these folders, you can create sub-folders. Ex: Within Movies folder, you can further categorize into Drama, Action, Romance, Horror and so on.
- Organize by Category
If you have files that cater to school/college, work, personal, professional, recreational and so on, then you can create folders accordingly.
You can also organize word documents into one folder, PowerPoint files into one folder, all your PDFs into one folder and so on. It will be easier to search by name once you get inside these folders.
- Clear cache
All the files, programs or applications that you open creates tiny, temporary files to help retrieve the information you need faster. This is cache data. Clearing the cache can speed up your system’s performance.
- Clear Downloads folder
The Downloads folder contains lots of different file types. Images, .exe files, torrent files, GIFs, pictures from emails and so on. Open your Downloads folder. List files by file type. Select files that you find are redundant and send them to Recycle bin in Windows or trash in Mac.
- Delete unused applications
There must be a lot of applications that you downloaded a while ago but are no longer needed. They just take up space and do nothing. Go to Control Panel. Identify all applications that are unnecessary and uninstall them. You can send all the .exe files to Trash or Recycle bin.
- Choose appropriate file names
Use file names that are easy to remember. If you are sending it to your friend or colleague, they should be able to gauge what this folder might be. Stop naming files like File1.pdf, file5.doc and so on. The file name should be enough to guess the contents of that file.
- Add files to Favorites folder
Another way to make things easier for you is to group files that you access regularly and put them into the Favorites folder. This way, you don’t have to search for files that you open frequently.
- Use Jump Lists
On Windows 7, you can use the Jump Lists option. With this, you can pin folders to the Windows Explorer pop-up icon near the Start button on the Taskbar. You can access it by right-clicking and choosing which folder to open. In order to add a new folder, you can simply drag and drop it onto the Windows Explorer icon in Taskbar.
- Actual cleaning of your PC
Once you have done all the hard yards of deleting unnecessary files, moving related files into folders and sub-folders, it is time to do a physical cleanup of your device. Clean your screen, mouse, keyboard, ensure wires are not entangled and so on.
- Be organized
Last but certainly not the least, it is time to set tasks and stick to them. It requires patience and determination to start with, but once you are intently following up on keeping your system organized on a daily basis, everything will fall into place.
